About The Role Sentara Norfolk General Hospital is seeking a dedicated Full-time Administrative Assistant I to support the Nursing Leadership team, specifically assisting the Senior Director and other key leaders within the department. This role is vital in ensuring the smooth operation of daily administrative functions, allowing nursing leaders to focus on patient care and operational excellence. The Administrative Assistant I will perform a variety of clerical and organizational tasks including managing schedules, coordinating meetings, handling correspondence, preparing reports, and maintaining confidential information. This position requires a proactive, highly organized individual who can handle multiple priorities in a fast-paced healthcare environment. The role offers an excellent opportunity to contribute to operational efficiencies, quality improvement initiatives, and patient care excellence, all while working within a collaborative team dedicated to healthcare innovation and community service.
Qualifications
- High School Diploma or Equivalent (Required)
- Associate's or Bachelor's Degree (Strongly Preferred)
- 4-6 Months Basic Experience in Office or Operational Systems (Required)
- Previous administrative support experience in healthcare, business, or professional office setting (Strongly Preferred)
- Experience supporting multiple leaders and coordinating complex schedules (Strongly Preferred)
- Excellent interpersonal, verbal, and written communication skills
- Strong customer service orientation and team-focused approach
- Exceptional organizational skills with the ability to manage multiple priorities independently
- High level of professionalism, discretion, and attention to detail
- Analytical skills with experience creating reports, spreadsheets, presentations, and tracking tools
- Strong problem-solving abilities and anticipation of leadership needs
- Proficiency in Microsoft Office Suite, including Excel, PowerPoint, Word, and Outlook
- Ability to work effectively in a dynamic, fast-paced environment with changing priorities
Responsibilities
- Provide comprehensive administrative support to Nursing Leadership, including managing calendars, scheduling meetings, and coordinating travel arrangements
- Act as the first point of contact for departmental inquiries, answering phone calls and assisting visitors or callers
- Handle correspondence, prepare reports, and develop presentations to support departmental initiatives
- Maintain confidentiality of sensitive information and ensure compliance with organizational policies
- Organize and facilitate meetings, including preparing agendas, taking minutes, and distributing materials
- Manage access to the department and control document flow to ensure efficiency
- Support operational tasks such as data entry, tracking, and report generation to aid decision-making
- Coordinate with other departments to ensure seamless communication and workflow
- Assist in onboarding new staff or visitors as needed
- Contribute to process improvements and support quality initiatives within the department
