About This Role
This administrative assistant role supports a growing food distribution company by handling daily clerical duties, managing documentation, and assisting various teams. The position suits a meticulous and detail-oriented individual with strong organizational skills who can work effectively in a fast-paced environment.
Responsibilities
- Perform daily administrative and clerical duties to support the company's operations
- Prepare, process and maintain documents, records and reports
- Assist with sales orders, purchase orders, invoices, delivery orders and other documentation
- Enter and update data accurately in the company's systems and Excel spreadsheets
- Assist the Sales and Purchasing teams with order processing and follow-up
- Coordinate with warehouse and logistics teams regarding deliveries and documentation
- Assist with filing and maintaining proper records of company documents
- Handle basic email correspondence and follow up with customers, suppliers and internal departments when required
- Assist with checking invoices, delivery documents and other supporting paperwork
- Provide general administrative support to the management and various departments
Requirements
- Minimum GCE 'O' Level / NITEC / Diploma or equivalent qualification
- At least 2 years of administrative, customer service, sales coordination or office experience
- Good working knowledge of Microsoft Office
- Good communication, customer service and interpersonal skills
- Able to communicate effectively with colleagues, customers and suppliers
- Meticulous and detail-oriented, especially when handling numbers and documents
- Good organisational and time-management skills
- Able to work in a fast-paced environment and independently
- Able to multitask, work well in a team and prioritise work effectively

- Experience working in a food distribution/wholesaler company
Important Details
- Schedule: 5.5-day work week (alternate Saturdays off after three months' probation subject to review)
